What is Business Process Management?

How does Business Process Management work exactly? Why is Business Process Management so important and useful for your organization's quality and efficiency?

At INBISCO we offer a module for Business Process Management, or in other words; process management. Our module the Process Manager, helps you to structure and optimize all your business processes. However, this process involves many aspects that can make this term somewhat complicated. So how exactly does Business Process Management work? Why is Business Process Management so important and useful for the quality and efficiency of your organization?

What is Business Process Management? (BPM)

Business Process Management can be seen as a composite field of study between business administration and organizational psychology. In BPM you analyze how your work processes and the tasks, authorities and collaboration of employees in these processes can be improved. BMP concerns the entire life cycle of all your business processes; identifying, developing, setting up and implementing processes to the execution, management, control, analysis and improvement of all your processes. With this you focus on continuously improving all your business processes and ultimately creating higher quality in your entire business structure and/or business chain.
In short, BPM answers the question; what exactly is happening in my organization?

Different business processes

If you look at the organizational level, there are three different types of business processes:
  • The primary processes, also called core processes: these processes relate to the production and processing of a service/product of your organization for an external customer.
  • The secondary processes, also called supporting business processes: these processes relate to preconditions that must be effectively carried out by an internal customer on all other processes. Think of the IT, HR or financial administration departments.
  • The tertiary processes, also called management processes: these processes focus on the planning, control, reporting, evaluation and adjustment of the organization of all processes.
When you apply integral process management in your business structure, this means that you will clearly structure and control the above processes and, with these insights, continuously adjust and change your processes where necessary. However, this is only possible if you see your organization as a whole of processes for execution, continuous improvement and innovation.
With effective Business Process Management, you can optimize your processes, allowing you to control your lead time, costs and risks and the quality of your processes. Because of the control you get over your organization when you effectively implement BPM, we now see that many more organizations are investing their time in BPM.

The role of the RASCI method

Every process consists of people who have different tasks and responsibilities within this process. In BPM, making responsibilities and authorities clear is therefore crucial to making a process as effective as possible. To prevent ambiguity and ensure that everyone knows exactly what to do, we use the Process Manager module, the method for role division; the RASCI method. The RASCI method stands for:
Responsible
Accountable
Supportive
Consulted
Informed
With RASCI you give everyone within the process a clear division of roles to increase efficiency and reduce ambiguity.

Process-oriented thinking and management

BMP alone is not enough, effective BMP also requires a switch in your organization’s mindset to think and manage in a process-oriented way. The process is of course central in this and all important process aspects are carefully considered. A process-oriented organization does not only focus on individual departments, but on the entire chain of processes that is often divided over multiple departments. This means that possible changes, problems and ideas will arise as a result of implementing process management that are about optimizing the working method across multiple departments. A process-oriented organization therefore collects issues, resolves these issues immediately and translates them into structural improvements.
